Cancellation and Refund Policy 

We know that weddings, vacations, and celebrations take a lot of planning. But we also understand that sometimes plans change for reasons beyond your control. At Arka Resort, we believe in being fair and supportive while also maintaining clarity for all guests. This policy will guide you through our cancellation and refund process for room bookings, event reservations, and group functions.

1. Cancelling Your Booking

If you need to cancel your booking for any reason, we request you to inform us as early as possible. You can cancel your booking by calling us or sending us an email with your full name, phone number, and booking reference number. This helps us find your details quickly and process your request smoothly.

The refund you receive depends on how many days before your check-in date you cancel:

  • 15 days or more before check-in: You will get a 100% refund of the amount paid.
  • 7 to 14 days before check-in: You will receive a 50% refund.
  • Less than 7 days before check-in: Unfortunately, no refund will be given.
  • No-show (you do not arrive on the check-in date): There will be no refund.

Please note that these rules apply to both individual and couple room bookings unless otherwise mentioned at the time of reservation.

2. Changing Your Booking Dates

We understand that sometimes you may not want to cancel but only need to move your booking to a different date. In such cases:

  • Please contact us at least 10 days before your scheduled check-in date.
  • We will check if rooms or event slots are available on your new preferred dates.
  • If available, we will reschedule your booking without any extra charge.
  • However, if the new dates fall in a peak season or holiday period, you may need to pay the difference in room or event charges.
  • If the new dates are not available, our normal cancellation policy will apply.

We always try our best to accommodate your request, but all date change requests depend on availability.

3. How Refunds Are Processed

If your cancellation request is eligible for a refund, here is how it will be processed:

  • Refunds are sent to the same payment method used during booking (bank transfer, UPI, card, etc.).
  • The refund process will begin only after your cancellation request is confirmed by our team in writing.
  • It may take 7 to 10 working days for the refund to reflect in your account, depending on your bank or payment provider.
  • Any transaction or processing fees charged by banks or third-party platforms will be deducted from the refund amount.

4. Group Bookings and Wedding Events

We welcome group bookings, wedding functions, and special celebrations. These events require advance planning, blocked dates, and team arrangements. For this reason, custom policies apply to large group or wedding bookings.

  • A non-refundable advance payment is collected at the time of booking.
  • This advance ensures that your date, space, and services are reserved just for you.
  • If the event is cancelled after booking, the advance will not be refunded.
  • If you need to postpone the event, we will do our best to shift the dates based on availability.
  • Any other terms and conditions will be shared clearly with you at the time of your booking in writing or email.

We suggest speaking directly with our wedding/event coordinator to understand the terms specific to your celebration.

5. Special or Emergency Situations

We care about our guests and understand that sometimes cancellations happen due to medical, personal, or natural reasons. In such cases:

  • You can share your situation with us in writing, along with any proof (if available).
  • Our management team will review the case with empathy and may offer a partial refund or date rescheduling, depending on the situation.
  • Please note that refunds for such cases are not guaranteed and are handled case by case.
